Old Capitol Chorus of Iowa City ("we," "us," or "our"), a not-for-profit Barbershop Harmony Society affiliate based in Iowa, operates the SmarterSingers ("the Service"). This Privacy Policy explains how we collect, use, store, and protect your personal information.
Account Information
When you register, we collect your name, email address, and a password (stored in encrypted form). Administrators may also create accounts on your behalf using a temporary password.
Audio Recordings
You may upload audio recordings of your singing performances. These recordings are stored on our servers and used solely to generate AI-assisted coaching feedback.
Self-Assessment and Performance Data
We collect self-assessment scores, personal reflections, contest scores (Music, Singing, Presentation categories), song titles, voice part, and group membership information that you provide.
AI Analysis Results
Coaching feedback generated by the Anthropic Claude AI model in response to your uploaded recordings is stored in association with your account.
Human Coaching Scores
Directors and Section Leaders within your chorus may submit star ratings and written feedback associated with your analyses. These are visible to you, your Section Leader, your Director, and administrators.
Usage and Change Data
We maintain a change log of edits and deletions made to analyses, including who made the change and when, for administrative and accountability purposes.
Payment Information
When payment features are activated, payments are processed through Stripe, Inc. We do not collect, store, or have access to your credit card or bank account information. All payment data is handled exclusively by Stripe under their own privacy policy.

Within Your Chorus Organization
Your analyses, scores, and coaching feedback may be visible to your assigned Section Leader, Director, and chorus administrators, consistent with the role-based permission system of the Service.
Anthropic Claude AI
Audio transcripts and recording metadata are transmitted to Anthropic, PBC for the purpose of generating AI coaching feedback. Anthropic processes this data under their own privacy policy. We do not send identifying personal information such as your name or email to Anthropic.
Stripe
If you subscribe to a paid plan, you will interact directly with Stripe for payment processing. We receive only confirmation of successful payment and subscription status.
Legal Requirements
We may disclose your information if required to do so by law, court order, or governmental authority.
Audio recordings you upload may contain copyrighted musical compositions or arrangements. Old Capitol Chorus of Iowa City does not license the musical works contained in your recordings, and the Service is not intended for music distribution, public performance, or reproduction.
You, the user, are solely responsible for ensuring that your use of copyrighted music complies with all applicable laws, including the U.S. Copyright Act and any licensing requirements of the Barbershop Harmony Society or its licensing partners. By uploading a recording, you represent and warrant that your use of any musical content therein complies with applicable law, and you agree to indemnify and hold harmless Old Capitol Chorus of Iowa City from any claims arising from your uploaded content.
Uploaded recordings are used solely for generating personal coaching feedback and are not distributed, publicly performed, broadcast, or made available to any person outside the permissioned role structure of the Service.
The Service may be used by individuals under the age of 18 with the consent and oversight of a parent, guardian, or chorus director. We do not knowingly collect personal information from children under 13 without verifiable parental consent. If you believe a child under 13 has provided us with personal information without appropriate consent, please contact us and we will promptly delete that information.
For users between 13 and 17, we encourage involvement of a parent or guardian in reviewing this Privacy Policy and the Terms of Service.
We implement reasonable technical and administrative safeguards to protect your personal information, including encrypted password storage, authenticated access controls, and role-based permissions. Audio files are stored in restricted directories not directly accessible from the web and are served only to authenticated, authorized users.
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
We retain your account information and analysis data for as long as your account remains active or as needed to provide the Service. If you delete an analysis, it is soft-deleted (hidden from view but retained in our database for administrative recovery) for a period of 90 days, after which it may be permanently deleted.
Account Deactivation
You may deactivate your account at any time from your Profile page. Deactivating your account immediately signs you out and prevents future logins. Your existing recordings, analyses, scores, and other data are NOT automatically deleted upon deactivation — they remain in our systems and may continue to be used for the purposes described in this Privacy Policy, including aggregate reporting and chorus administrative records.
If you wish to have your personal data permanently and completely removed from our systems, you must submit a specific written request to our Admin at the contact information below. We will process such requests in accordance with applicable law, which may include retaining certain records as required for legal, accounting, or organizational purposes.
